Overview

We are seeking a part-time Administrative Officer (AO) to join our growing team. The AO will manage all administrative tasks related to setting up and managing a client office in India. No prior exposure to India is needed. We will provide the necessary training. The Administrative Officer will report to the company's CEO.

Responsibilities

  • The AO will be responsible for five major tasks: client invoicing, vendor management, expense management, compliance paperwork (India), and client travel.
  • Prepare client invoices at the end of each month with supporting receipts and paperwork.
  • Manage vendors, primarily in India, to ensure everyone delivers their products/services as per their contract.
  • Following up with vendors to ensure timely delivery.
  • Review vendor invoices for accuracy and execute payments.
  • Collect paperwork (tax receipts) required from local vendors.
  • Manage expenses for every client office in India.
  • Review expenses submitted by each office for accuracy.
  • Review prepaid debit card statements and reload the cards accordingly.
  • Identify and escalate discrepancies in expenses.
  • Handle all compliance-related paperwork.
  • Collect paperwork from stakeholders in the US and Canada and send them to our compliance team in India.
  • Follow up with the compliance team to ensure all compliance filings are made on time.
  • Prepare monthly compliance reports for the company CEO.
  • Collaborate with the clients and our travel agent to make all necessary travel bookings for our clients.
  • Be the point of contact for our clients and the India team throughout the travel.
  • Handle any tasks that may come up to ensure the smooth operation of client offices in India.

Ideal Requirements

  • Strong working knowledge of Microsoft Office
  • High EQ / ability to build and manage relationships
  • Excellent written and verbal communication skills
  • Solid organizational skills, including attention to detail and multi-tasking skills
  • Experience working with global teams

  • This position is fully remote
  • Requires working odd hours to accommodate global time zones
